Refund Policy

Please read this Refund Policy carefully before purchasing services from Kalamazoo Website Design or subscribing to any related software, CRM, or digital service, including Nexus. By purchasing our services, submitting payment, or maintaining an active subscription, you agree to this Refund Policy.

1. General Refund Policy

Kalamazoo Website Design reviews refund requests on a case-by-case basis. We understand that situations can vary, and we may choose to issue a full refund, partial refund, account credit, or billing adjustment at our discretion depending on the service purchased, the work completed, the client’s agreement, and the circumstances of the request.

However, all website build fees, launch fees, setup fees, onboarding fees, and other one-time project initiation fees are non-refundable once paid. These fees cover the time, labor, planning, setup, administrative work, software configuration, and resources required to begin a project.

Approval of a refund in one situation does not guarantee that a refund will be provided in any other situation.

2. Website Design and Development Services

Website build fees, launch fees, setup fees, onboarding fees, and similar one-time project fees are non-refundable.

These fees cover the initial work required to begin a project, including discovery, planning, project setup, design preparation, software setup, account configuration, administrative work, and communication time.

Any refund request related to monthly service payments, ongoing website management, or other recurring services may be reviewed on a case-by-case basis. If a client cancels a project after work has started, the client remains responsible for all work completed up to the cancellation date.

3. Monthly Website, Marketing, and Management Plans

Monthly service plans are billed on a recurring basis. Refund requests for monthly website, marketing, CRM, or management services may be reviewed on a case-by-case basis.

Clients may cancel future billing by providing written notice according to the terms of their service agreement. Cancellation stops future recurring charges but does not automatically create a refund for the current or previous billing period.

No refund is guaranteed for partial months, unused services, client delays, missed meetings, or failure to provide requested information.

4. Nexus CRM and SaaS Subscriptions

Nexus and related CRM/SaaS services are subscription-based digital products. Subscription payments may be reviewed for refund eligibility on a case-by-case basis, but refunds are not guaranteed once access has been provided or a billing period has begun.

Clients are responsible for managing their subscription status and requesting cancellation before the next billing date. Continued use of the platform, CRM, automations, communication tools, or related software after billing constitutes acceptance of the subscription charge.

Refunds may be denied for:

  • Unused account access
  • Failure to log in or use the software
  • Client-side setup delays
  • Missed cancellation deadlines
  • Third-party platform limitations
  • Temporary service interruptions outside our reasonable control

5. Third-Party Fees

Fees paid to third-party providers are generally non-refundable. This may include, but is not limited to:

  • Domain registration fees
  • Hosting fees
  • Software subscriptions
  • CRM usage fees
  • Phone, SMS, email, or communication charges
  • Payment processing fees
  • Advertising spend
  • Premium integrations or third-party tools

Kalamazoo Website Design is not responsible for the refund policies, billing practices, or performance of third-party providers.

6. Advertising and Marketing Services

Payments for advertising management, SEO, social media management, content creation, campaign setup, and marketing services may be reviewed on a case-by-case basis, but are generally not refundable once the service period or work has begun.

Advertising spend paid directly to platforms such as Google, Meta, or other ad networks is controlled by those platforms and is not refundable by Kalamazoo Website Design.

We do not guarantee specific marketing results, rankings, leads, sales, traffic, or revenue outcomes.

7. Client Responsibilities

Clients are responsible for providing requested information, content, approvals, feedback, account access, and other materials in a timely manner.

Refunds may be denied for delays caused by the client, including failure to provide content, delayed approvals, missed meetings, lack of communication, or changes in project direction after work has started.

8. Duplicate or Accidental Charges

If you believe you were charged in error, charged twice, or billed for an incorrect amount, please contact us as soon as possible.

If we confirm that a billing error occurred, we will correct the issue by issuing a refund, credit, or adjustment at our discretion.

9. Chargebacks and Payment Disputes

If there is an issue with a charge, we ask that clients contact us first so we can review and resolve the matter directly.

Filing a chargeback or payment dispute without first contacting us may result in suspension of services, cancellation of active subscriptions, removal of access to software or hosting, and collection of any unpaid amounts owed under the service agreement.

10. Cancellation Requests

Cancellation requests must be submitted in writing. Cancellation applies only to future billing unless Kalamazoo Website Design approves a refund or credit on a case-by-case basis.

Build fees, launch fees, setup fees, onboarding fees, and other one-time project initiation fees are non-refundable. Some services may also require a minimum commitment period, notice period, or final payment depending on the client’s service agreement.

11. Exceptions

Kalamazoo Website Design may issue a refund, partial refund, account credit, or billing adjustment at its sole discretion. Any refund exception must be confirmed in writing.

Granting a refund in one situation does not create an obligation to provide refunds in the future.

12. Changes to This Policy

We reserve the right to update or modify this Refund Policy at any time. Updated policies will be posted on this page with a revised date. Continued use of our website, services, or subscriptions after changes are posted constitutes acceptance of the updated policy.
